Expense reimbursement calculator

Builds an expense claim from pasted receipt lines with tax split, user-supplied FX rates, per-diem entries and category caps by line, day or claim, flagging breaches and missing receipts without removing lines.

This tool is in beta

Still being tested. If a result looks wrong, tell us.

Report a problem

Paste receipt lines or fill the per diem, then press Build claim.

No exchange rates are fetched or assumed: every rate is yours, and the statement rate is the one that reconciles, not a mid-market feed. Inclusive tax reads the typed amount as gross, so 20% of a gross of 120 is 20 tax, not 24. Totals are summed unrounded, so the printed total can differ by a cent from the printed lines and the CSV carries more decimals. Caps flag breaches and keep every line: the approver makes the call, not the calculator. A rate above 1,000 or below 0.0001 still computes but is flagged as probably inverted. Nothing leaves this tab.

A label, not a rate source

A per diem needs days and a rate; meal deductions are optional and subtract. It enters the claim total and the claim caps, and day caps never see it.

Line shape: date, description, category, amount, then optional currency, rate, tax, flags. Tax takes inc, exc, none, or its own rate like inc:5. The flag noreceipt marks a missing receipt. Caps are category, scope, limit, where * covers every category. Up to 500 lines and 100 caps per claim.
